Looking at the results of any major search engine when looking for a conferencing company can be quite intimidating in the amount of companies offering conferencing services. It seems as if the list never ends and to actually go look at each site and navigate your way through all the fluff to get all the vital information such as the price and the services offered will you keep you chasing shadows for quite some time. And let us not forget all the fine print and rocket science math hidden inside when discussing price. Now, fast forward a little bit to a time where you are finished searching. You have done all your research, only it did not bog you down like you thought it was going to. Why? Because you had a guideline to follow or a "template." You knew exactly what you were looking for how to find it- lightning quick! You have downloaded all your necessary programs and are ready to to start your conference call. All this at a price well below what you were planning. You pat yourself on the back and take pride in your executive style efficiency. With this method, you put the conferencing companies to work for you and quite often they will offer you a free trial to give them a chance. When you arrive at a potential conferencing site, you will be looking for one thing only. No searching around for prices or customer service. You will look for the companies' email address. This is most commonly found in the "contact us" link. You will have prewritten a letter of interest with questions for customer service to answer and email you back. All you will have to do is copy and paste your letter, hit send, and your done. What should this letter say? Since everyone is different. Brainstorm what you are looking most such as; -Price. Are there any hidden charges? Is there a flat rate pricing? -Be sure to include what you plan on using their services for and how many participants will be in the the conference. -What are the fastest ways to contact customer service? Phone? I-chat? Other? -Special Equipment needed? -Free trial? -Also be sure to ask if there is anything else you should know. The above is only a sample of the questions you can ask. By visiting some FAQ's pages, you may think of more that apply to you. But fair warning here, do not spend to much time trying to come up with the perfect questionnaire. Get the basics done and start sending it off. When you get the responses, have a spreadsheet to help you organize the information and highlight key points that make each company attractive to you. Putting the above idea into action you can have an army of customer service representatives competing for your business instead of you trying to surf each site one by one.
